Book excerpt: Focusing on the experience of the Yale University (Connecticut) social science data preservation project, this document presents a case study of migration as a preservation strategy, exploring options for migrating data stored in a technically obsolete format and their associated documentation stored on paper. The first section provides background and a project description, an overview of the Yale Roper Collection of public opinion research data sets and paper records, and a summary of the literature search. The following nine steps of the data track are described in the second section: identify equipment; copy files from mainframe-based media to local hard disks; examine documentation; define the column binary format; develop standard variable-naming classifications; read in data with SAS (Statistical Analysis System) and SPSS (Statistical Package for the Social Sciences); identify migration formats; recode data files with SAS; and create spread ASCII data files without recoding. The next section addresses the documentation track, including software/equipment, TextBridge Pro optical character recognition software, PDF (portable document format) files from Adobe Capture, and HTML and SGML/XML marked-up files. Findings and recommendations are presented in the fourth section, including user evaluation, findings about data/documentation conversion, and recommendations to data producers. Based on their experience designing and implementing custom utilities to convert a large number of legacy databases and files in different platforms, RTI computer scientists developed five criteria that need to be considered when evaluating a data migration tool (DMT). These criteria can help users and software development project managers make informed decisions in data conversion tasks, help software developers assess design and implementation considerations for future DMT products, and provide guidelines for database administrators to evaluate a general DMT.

Book excerpt: When the decision was made to migrate to Alma integrated library system, Rowan University libraries had an acquisitions department and a moderate understanding of how this migration would occur. With the official announcement of the migration to Alma, the entire acquisitions team announced their retirement shortly thereafter. While Alma provided the library with an opportunity to reevaluate workflows and collaborations this was a curveball that no one was expecting. Additionally, many resources were not traditionally tracked in Voyager, the previous library management system but tracked in Intota the previous electronic resource management system. However, these resources would now be tracked in Alma for a variety of reasons. This added another layer of complication to the retirements that occurred and the implementation that was well underway. This poster will discuss how Rowan University Libraries has managed the Alma migration without the historical institutional memory of the former acquisitions team. It will also examine how the libraries have examined workflows anew as a result of both the migration and these vacancies, and how Rowan University Library has taken advantage of these expanding opportunities since the beginning of the migration until and through the go-live date to account for these new integrations.
